Odin Account Expiration

The Office of Information Technology strives to balance the need to allow access to Odin account resources after you have left the University with the need to expire accounts and delete data for those who are no longer affiliated with PSU. Currently, OIT's account expiration follows the guidelines below.

  1. The Office of Information Technology shall provision Odin computer accounts as follows:

    1. Short Term Visitors may receive an Odin Visitor account for a maximum of 90 days. At the end of 90 days, the account will expire (no renewal). The account and affiliated data will be preserved for 180 days. At the end of the preservation period, all account-affiliated data will be destroyed.

    2. Emeritus faculty may receive a lifetime Odin Employee account.

    3. Sponsored individuals may receive an Odin Sponsored account for a maximum of 365 days (renewal available). At the end of 365 days, or the designated de-provisioning date, the account will expire. The account and affiliated data will be preserved for 180 days. At the end of the preservation period, all non-Banner account affiliated data will be destroyed.

    4. Employees (i.e. Faculty and Staff) will receive an Odin Employee account that expires within 24 hours after separation from the university. The account and affiliated data will be preserved for 180 days. At the end of the preservation period, all non-Banner account affiliated data will be destroyed.

    5. Adjunct Faculty will receive an Odin Employee account that expires one year after the end of the month in which they last taught. The account and affiliated data will be preserved for 180 days. At the end of the preservation period, all non-Banner account affiliated data will be destroyed.

    6. Students will receive an Odin Student account that expires 180 days from the end of the last term of attendance. The account and affiliated data will be preserved for 180 days. At the end of the preservation period, all non-Banner account affiliated data will be destroyed.

  2. All employees and students will retain access to the PSU Information System (a.k.a. Banweb) indefinitely to allow for retrieval of personal information such as transcripts and/or tax information.

  3. Odin computer account types are defined as:

    1. Visitor – access to network, wireless network, file shares, printers, online learning systems

    2. Emeritus - access to network, wireless network, file shares, printers, online learning systems, email, myPSU

    3. Sponsored - access to network, wireless network, file shares, printers, online learning systems, email, myPSU, Banner INB (not by default, special authorization process required)

    4. Employee - access to network, wireless network, file shares, printers, online learning systems, email, myPSU, Banner INB (not by default, special authorization process required)

    5. Student - access to network, wireless network, file shares, printers, online learning systems, email, myPSU

  4. This policy addresses only the creation and retention of accounts by the Office of Information Technology.  Individual employees and departments are responsible for retaining electronic records as required by the applicable records retention requirement and in accordance with the PSU Information Security Policy.
